Terms & Conditions

These Terms explain how PolicyPatch’s own service is offered and delivered. They apply to PolicyPatch’s Website Setup implementation service and Privacy Officer Support service, not the separate customer-facing Terms pages that PolicyPatch may later implement on client websites.

About these Terms

These Terms apply when you use the PolicyPatch website to enquire about services, submit a Request Setup, submit an Apply for Support intake, or engage PolicyPatch for service delivery. By proceeding with an engagement, you agree to these Terms.

Submitting a request does not automatically mean PolicyPatch has accepted your job. PolicyPatch reviews fit and scope first. If your website does not fit the standard pathways, PolicyPatch may decline the work or offer a separate scope recommendation.

What PolicyPatch provides

PolicyPatch provides a fixed-scope one-off implementation service (Website Setup) for straightforward New Zealand small business websites. PolicyPatch also provides Privacy Officer Support as a suitability-based monthly service for suitable low-risk websites.

These services are designed for practical operational rollout and support work across website privacy basics, not broad legal, technical, or strategic projects.

PolicyPatch also provides a Free Website Check path for businesses that want manual route guidance before beginning paid Request Setup or paid support onboarding.

How requests are reviewed

PolicyPatch reviews your intake details to confirm whether your site appears to fit the core package. This includes reviewing platform context, form scope, data-flow signals, tool/provider setup, and likely exclusions.

Fit review is part of responsible scoping. If fit is unclear, PolicyPatch may ask follow-up questions before confirming next steps.

When work starts

Website Setup implementation begins only when all start conditions are met:

  • fit and scope are confirmed by PolicyPatch;
  • payment has been received;
  • required collaborator/admin access is in place; and
  • required intake information has been provided.

Privacy Officer Support begins only after suitability and monthly scope are reviewed and accepted. If required start conditions are missing, PolicyPatch may hold or decline onboarding.

What is included in the core package

The current core package (NZD 329 + GST) includes:

  • quick data-flow check across in-scope pages/forms;
  • Privacy Policy page written or fixed and published;
  • privacy officer/privacy contact details included in the Privacy Policy;
  • privacy wording added to up to 2 editable forms;
  • Privacy Policy made easy to find on-site;
  • cookies/analytics/tracking disclosure in the Privacy Policy where relevant;
  • basic offshore/overseas provider review and disclosure where relevant;
  • Terms & Conditions page published;
  • standard rollout target in 5 working days once start conditions are met;
  • desktop + mobile QA checks and a proof pack/completion summary; and
  • one revision pass within 7 days for small package-aligned tweaks.

Optional add-ons may be available where workable: Priority Rollout (3 working days) for +NZD 120 + GST, and additional editable forms for +NZD 75 + GST each.

The package is intentionally narrow so delivery stays clear, controlled, and predictable.

Privacy Officer Support service scope

Privacy Officer Support is a suitability-based monthly service for suitable low-risk businesses with straightforward websites and standard tooling. Support may include practical monthly privacy-basics operations coverage, change tracking, and agreed operational support actions.

Support is selective and is not an unlimited retainer. PolicyPatch may decline, pause, or re-scope support where risk profile, data handling, or technical complexity falls outside support scope.

What is not included

Unless separately agreed in writing, PolicyPatch services do not include:

  • legal advice, legal review, or legal sign-off;
  • compliance guarantees;
  • ecommerce policy suites, including returns, refunds, shipping, subscriptions, chargebacks, or payment-dispute terms;
  • cookie consent tooling, consent platforms, or GA4 consent mode setup;
  • complex regulated-data or sensitive-data environments;
  • complex breach response handling or incident-response programs;
  • internal privacy or security audits;
  • major redesign or broader development work;
  • more than 2 extra forms under simple add-on pricing;
  • embedded third-party widgets/forms or messy custom form setups unless they can be edited cleanly within scope; and
  • any work beyond fixed package scope without separate written agreement.

What the client must provide

To deliver the service, you are responsible for:

  • providing accurate and complete intake information;
  • confirming which included forms and any requested add-on forms are in scope;
  • providing the access needed for PolicyPatch to complete the work;
  • ensuring you are authorised to provide website/platform access and instructions;
  • checking and confirming business-specific details relevant to your website content and privacy contact details; and
  • responding promptly to requests that affect delivery timing.

Timing and delivery

The standard target turnaround is 5 working days after start conditions are met. This timing does not begin from first enquiry, and it does not begin while waiting for payment, access, or required intake details.

Priority Rollout (target 3 working days) is an optional add-on at +NZD 120 + GST when confirmed by PolicyPatch. Additional editable forms are +NZD 75 + GST each where forms are cleanly editable within scope.

More than 2 extra forms, embedded third-party forms/widgets, or messy custom form setups may require separate quoting.

Delivery timing may change if there are platform restrictions, permissions issues, unexpected scope complexity, or slow client responses.

Revisions

One revision pass is included for 7 days from delivery. The revision pass is for small wording, link, or package-aligned layout tweaks.

New pages, additional forms, ecommerce policy work, major rewrites, and broader changes are treated as new scope and may require a separate quote.

Scope changes / out-of-scope work

If new information or technical constraints show the website is outside the fixed package, PolicyPatch may pause, decline, or re-scope the work. Where appropriate, PolicyPatch may offer an updated recommendation or separate quote.

PolicyPatch aims to identify exclusions early, but fit outcomes can change if the real implementation environment differs from initial intake information.

Website access and third-party platforms

PolicyPatch works within your website and related tools using the access you provide. Collaborator or admin access is preferred, and password sharing should be avoided where possible.

Platform limitations, account permissions, embedded systems, or third-party tooling may affect what can be completed within fixed scope. PolicyPatch may pause, re-scope, or decline work where clean implementation is not possible.

Payment

PolicyPatch may issue an invoice once fit looks suitable. Payment is required before implementation begins. Work does not start until payment is received.

Where add-ons are selected and confirmed as workable, total pricing is updated before implementation starts.

If a website is found to be out of scope before implementation starts, PolicyPatch may decline the work or provide a separate quote for different scope.

PolicyPatch provides implementation and operational support services. PolicyPatch does not provide legal advice, legal review, or legal sign-off.

PolicyPatch does not guarantee that implementation alone will meet all legal or regulatory requirements for every business circumstance. If you need legal advice or industry-specific legal guidance, obtain that advice separately.

Liability and consumer rights

PolicyPatch is responsible for providing services with reasonable care and skill. To the extent permitted by law, PolicyPatch is not liable for indirect or consequential loss arising from use of the service.

To the extent permitted by law, PolicyPatch’s total liability for claims connected to a specific engagement is limited to the amount paid for that engagement.

Nothing in these Terms is intended to exclude, restrict, or modify rights or remedies that cannot legally be excluded under New Zealand law.

Intellectual property / client content

You retain ownership of your existing website content, branding, and materials. You give PolicyPatch permission to use that material as needed to complete the agreed implementation work.

PolicyPatch retains ownership of its own internal templates, workflows, and service methods.

Changes to the service or these Terms

PolicyPatch may update service details or these Terms from time to time. The latest version will be published on this page with an updated date.

For an active engagement, PolicyPatch will generally apply the Terms in place when scope was accepted, unless a different update is agreed with you.

Governing law

These Terms are governed by the laws of New Zealand.

Website use

The PolicyPatch website is provided for service information and enquiry purposes. PolicyPatch may update, change, or remove website content from time to time.

You must not misuse the website, interfere with normal operation, or attempt unauthorised access to website systems.
